INTRODUCTION

Loughman Ventures Limited T/A Love HQ ("Love HQ", "we", "us" or "our") is committed to protecting the privacy and confidentiality of our clients.

This Privacy Notice explains how Love HQ collects, uses, stores and protects personal information in accordance with the General Data Protection Regulation (GDPR), the Data Protection Act 2018 and applicable Irish data protection legislation.

By using our services, you acknowledge and agree to the processing of your personal information as set out in this Privacy Notice and our Terms & Conditions.

PRIVACY NOTICE

1. What information we collect and why

Love HQ collects, stores and processes personal data provided by current clients, former clients and potential clients (collectively referred to as "clients").

We process this information where necessary for the performance of our contract with you, to take steps at your request before entering into a contract, where we have a legitimate interest, where you have provided appropriate consent, or where otherwise permitted or required by law.

This may include:

Name, address, telephone number and email address
Age, gender, height and other personal information relevant to matchmaking
Hobbies, interests, lifestyle and relationship preferences
Photographs
Identification information
Matching preferences and requirements
Consultation and matchmaking records
Contractual information
Financial and payment information
IP address and website information
Correspondence and communications with Love HQ
Feedback relating to introductions and dates
Other information reasonably relevant to providing our services

Where you provide information falling within special categories of personal data, including information concerning health, political opinions, religious or philosophical beliefs, racial or ethnic origin, sexual orientation or sex life, we will only process such information where a lawful basis and applicable condition for processing exists under data protection law.

You may contact us regarding the deletion of your personal data, subject to any legal, contractual or legitimate business reasons requiring us to retain certain information.

2. Your data protection rights

Subject to applicable law and certain exemptions, Love HQ clients have rights including:

The right to request access to personal data held about you
The right to have inaccurate personal data rectified
The right to request erasure of personal data in appropriate circumstances
The right to request restriction of processing in appropriate circumstances
The right to data portability where applicable
The right to object to certain processing
The right to withdraw consent where processing is based on consent
The right to lodge a complaint with the Data Protection Commission

Your right of access relates to your own personal data. It does not automatically provide a right to obtain the personal data, confidential communications or private information of another person.

Where records contain information relating to third parties, confidential communications or other information protected by law, Love HQ will assess the relevant rights and exemptions when responding to any access request.

In particular, feedback, opinions, comments or communications provided by another Love HQ client following an introduction may contain third-party personal data and/or confidential expressions of opinion. Such information will be considered in accordance with applicable data protection legislation when responding to any request for access.

3. How we collect and use client data

Client information is gathered by Love HQ matchmakers through consultations, interviews, forms, telephone calls, face-to-face meetings, email, written correspondence, feedback systems, WhatsApp or other appropriate communication methods.

Client data may be used:

During the matchmaking process
To assess suitability and compatibility
To introduce you to potential matches
To provide relevant information to a potential match where you have agreed to the introduction
To maintain appropriate records
To comply with legal and regulatory obligations
To verify identity using appropriate publicly available information where necessary
To administer financial transactions
To communicate with you about our services and events where lawfully permitted
For legitimate internal business and administrative purposes
To review and improve our matchmaking services

4. Feedback following introductions

Feedback is an important part of our matchmaking process and may be collected from clients following introductions.

Feedback may be provided by telephone, email, WhatsApp, our feedback system, in person or by another appropriate method.

Where Love HQ requests feedback through a designated feedback system, clients are expected to use that system where possible, as this allows feedback to be properly recorded and reviewed as part of the matchmaking process.

Not every client will provide feedback after every introduction, and Love HQ cannot guarantee that feedback will be received from another person.

Feedback provided by clients is confidential. Love HQ may use feedback internally to assess compatibility, improve future introductions and manage the matchmaking relationship.

Love HQ does not routinely provide clients with copies of feedback, notes, written comments or private communications supplied by another client following an introduction. Where feedback is considered relevant and appropriate to assist your dating journey, Love HQ may, at its discretion, communicate the relevant substance of that feedback to you.

The decision as to whether feedback is shared, and the manner and extent to which it is shared, rests with Love HQ, subject always to applicable data protection law.

Love HQ will not disclose the identity, contact details or private communications of another client except where required or permitted by law or with appropriate consent.

5. Confidentiality of the matchmaking service

Love HQ operates a private and confidential matchmaking service.

Clients must respect the privacy and confidentiality of other clients and must not share, publish, record or distribute another client's personal information, photographs, contact details or other information obtained through Love HQ.

Clients must not disclose the identity or personal circumstances of people they meet through Love HQ to friends, family, social media, dating websites, journalists or other third parties without appropriate consent.

6. Recording, photography and wearable technology

Recording or surveillance of consultations, dates or other Love HQ interactions is strictly prohibited.

Clients must not:

Audio or video record a consultation, date or Love HQ interaction
Photograph another client without their express consent
Use hidden recording devices
Use smart glasses, Meta-type glasses or other wearable technology capable of recording audio, video or images
Use any other recording, surveillance or capturing device during a consultation or date

Any device capable of recording audio, video or images must be removed, switched off or otherwise disabled before a consultation or date.

This rule exists to protect the privacy, dignity and confidentiality of all Love HQ clients.

A breach of this provision may result in immediate suspension or termination of membership without refund and may be reported to the appropriate authorities where required.

7. Retention of personal information

Love HQ will retain personal data only for as long as necessary for the purposes for which it was collected and processed, subject to legal, regulatory, contractual and legitimate business requirements.

Certain records, including information relating to services provided and financial transactions, may be retained for approximately six years following the end of the contract where necessary for accounting, legal, tax, regulatory or other legitimate purposes.

Where appropriate, records may be securely archived, anonymised or deleted when they are no longer required.

8. Who is responsible for your data

Loughman Ventures Limited T/A Love HQ is responsible for the personal information it processes.

The CEO and authorised Love HQ personnel involved in the matchmaking process may access client information where necessary to perform their duties.

Access to client records is restricted to authorised personnel.

9. Data security

Love HQ takes reasonable technical and organisational measures to protect personal information.

These include:

Data protection training and awareness for staff
Password-protected systems
Restricted access to client records
Secure storage of hard-copy records
Regular data backups
Secure office premises
Procedures for the secure archiving and deletion of records

Love HQ does not sell client personal data.

Client information will not be disclosed outside Love HQ's legitimate business operations except where required or permitted by law, where necessary to provide the service, or where appropriate consent has been obtained.

10. Communications

Clients currently under contract

Love HQ may contact clients by telephone, text, email, written communication or in person as reasonably necessary to provide the contracted service.

Former, lapsed and potential clients

Love HQ may contact former, lapsed or potential clients where permitted by law, including regarding potential suitable matches, changes to their details, services, events or whether they wish to remain on our database.

11. Subject Access Requests

Clients may make a Subject Access Request ("SAR") under Article 15 GDPR for access to their personal data.

SARs should be made in writing to Love HQ.

Love HQ will respond without undue delay and, in any event, within one month of receiving a valid request, subject to any lawful extension permitted under GDPR.

Where a request is complex or numerous, an extension may be available under applicable data protection legislation and Love HQ will notify the requester where appropriate.

The right of access is a right to personal data concerning the requester. It does not automatically provide access to another person's personal data, confidential communications or information where disclosure would adversely affect the rights and freedoms of others.

Where a record contains information relating both to the requester and to another person, Love HQ will consider whether the information can lawfully be disclosed and whether redaction or another appropriate measure is required.

Love HQ may rely on applicable exemptions and restrictions under the GDPR and Data Protection Act 2018 where appropriate, including provisions relating to confidential expressions of opinion and the rights and freedoms of third parties.

12. Lawful basis for processing

Love HQ processes personal information on one or more lawful bases under GDPR, including:

Contract

Where you are a client, we may process information necessary to provide the matchmaking services agreed with you.

Legitimate interests

Love HQ may process information where necessary for legitimate business purposes, including maintaining client records, identifying potential matches, improving services, managing relationships with clients and protecting the operation of the business, provided that such processing does not override your fundamental rights and freedoms.

Consent

Where consent is required by law, Love HQ will seek appropriate consent before processing personal information for the relevant purpose.

13. Website visitors

When someone visits our website, Love HQ may use third-party analytics services such as Google Analytics to collect standard internet log information and information about visitor behaviour.

This information is used to understand website usage and improve our website and services.

MATCHMAKING TERMS OF BUSINESS

14. Consultation and matchmaking

Matchmaking begins with a consultation.

Consultations start from €150, with €200 for out-of-hours consultations and €250 for weekend consultations.

Booking a consultation does not guarantee membership of Love HQ's matchmaking service.

Following a consultation, Love HQ may invite a person to join the matchmaking service if we believe we have suitable potential matches.

If we do not currently have suitable matches, Love HQ may continue to consider potential matches for up to two years following the consultation.

This is a selective matchmaking service and Love HQ only introduces people where we genuinely believe there may be compatibility.

During periods where there is no suitable match, Love HQ does not guarantee regular updates.

15. Membership Packages

Current packages include:

3 Dates x 1 Year – €500
5 Dates x 1.5 Years – €700
1 Date – €200 for the first date and €150 per subsequent date, where recommended by Love HQ.

Love HQ endeavours to arrange suitable introductions as promptly as reasonably possible.

By making payment, you confirm that you have read and agree to these Terms & Conditions and Rules & Regulations.

LOVE HQ – TERMS & CONDITIONS OF MEMBERSHIP / CONTRACT

1. Eligibility

All members must be single or unattached, no longer cohabiting with a former partner, and emotionally and legally free to form a relationship.

2. Member Identification

Members must provide valid identification, their home address, contact telephone number(s) and email address.

All information provided must be accurate and truthful.

If information is found to be materially false or misleading, Love HQ may terminate membership without refund.

3. The Introduction Process

Love HQ will introduce members to potential partners whom we consider suitable during the active membership period.

We cannot guarantee romantic success, mutual attraction, chemistry, long-term compatibility, a relationship, marriage or any other specific outcome.

An introduction is considered completed once both parties have agreed to be connected by Love HQ and the relevant contact/date details have been provided.

An introduction does not guarantee that a face-to-face meeting will ultimately take place.

All assessments and matches are made in good faith based on information available to Love HQ.

4. Confidentiality

Love HQ operates a private matchmaking service.

By joining, members consent to their relevant profile information, photographs and contact details being shared with potential matches where necessary to arrange an introduction.

Members must maintain the confidentiality of all people they are introduced to through Love HQ.

5. International Matches

Love HQ may work with trusted international matchmaking agencies and may consider clients of such agencies for suitable introductions.

By signing this agreement, you consent to your relevant profile and photographs being shared where necessary for a potential introduction, subject to applicable data protection requirements.

6. Personal Safety

Members are responsible for their own personal safety.

First meetings should take place in public places. Subsequent meetings should remain in public until both parties are comfortable.

Love HQ is not responsible for the conduct, actions or decisions of members or for outcomes arising from meetings or relationships.

7. Member Conduct

Members must treat all other members and Love HQ personnel with courtesy, respect and consideration.

Inappropriate, offensive, threatening, discriminatory, harassing or disrespectful behaviour may result in immediate suspension or termination of membership without refund.

Members must not disclose or distribute another Love HQ client's personal information.

Recording, photographing or otherwise capturing another member without their express consent is prohibited.

8. Membership Acceptance

Love HQ reserves the right to refuse membership or withdraw membership where it considers this necessary, including where a member breaches these Terms & Conditions or behaves in a manner considered inappropriate or incompatible with the service.

9. Engagement and Communication

Members are expected to respond promptly to communications from Love HQ and to engage reasonably with the matchmaking process.

Failure to communicate or engage may result in suspension, deactivation or termination of membership.

Love HQ does not routinely check in with inactive members. Members are responsible for notifying Love HQ of changes to their circumstances, availability or relationship status.

10. Scheduling Introductions

Members must request further introductions directly by email to:

New introductions will only be arranged where Love HQ considers it appropriate and where reasonable effort has been made to meet previous introductions.

Compatibility should not be assessed by telephone. Love HQ believes in allowing compatibility and chemistry to develop through real-life interaction.

Where a date must be rescheduled, reasonable notice should be given to the other person and a new date should be arranged promptly.

11. Membership Period, Pausing and Expiry

Membership may be paused ("frozen") for up to three months with prior written approval from Love HQ.

If a member is unavailable, including because they are travelling, dating outside the agency or otherwise unable to participate, they must notify Love HQ and request a formal pause.

If membership is not formally paused, introductions offered during a period of unavailability may be counted.

Unless otherwise agreed in writing, membership expires three months after the date of the last introduction organised by Love HQ.

If a member wishes to receive another introduction following this period, they must explicitly request this by email to findlove@lovehq.ie.

If a member has been dating someone outside the agency and intends to continue seeing that person, they must notify Love HQ and request that their membership be paused where appropriate.

12. Health and Wellbeing

Members must be in a position to participate safely and appropriately in the matchmaking process.

Members must notify Love HQ of any circumstances that may materially affect their ability to participate in introductions.

Where sensitive or special-category information is provided, Love HQ will process it only in accordance with applicable data protection legislation.

13. Profile Accuracy

Members confirm that all information provided during consultations and interviews is truthful and kept up to date.

Once a profile has been finalised, amendments may require Love HQ's approval.

Any criminal convictions or other matters that materially affect a person's eligibility or suitability for membership must be disclosed where legally required or reasonably relevant to the safety and integrity of the matchmaking service.

Failure to provide materially relevant information may result in termination of membership without refund.

14. Feedback

Members are expected to provide honest and constructive feedback following introductions where requested.

Feedback may be collected through Love HQ's designated feedback system, email, telephone, WhatsApp or other appropriate communication.

Where Love HQ specifically directs a member to complete a feedback form or survey, members should use that system so that feedback can be properly recorded and reviewed.

Love HQ does not guarantee that feedback will be received after every introduction.

Feedback received from another member is confidential. Love HQ may use it to assess compatibility and future introductions.

Love HQ does not routinely provide one member with the written feedback, notes, messages or private communications of another member.

Where Love HQ considers it appropriate and beneficial to the member's dating journey, relevant feedback may be communicated in summary form and at Love HQ's discretion.

15. No Recording or Recording Devices

For the protection of all clients, recording is strictly prohibited during Love HQ consultations, dates and other Love HQ interactions.

Members must not use:

Audio or video recording devices
Hidden cameras or microphones
Smart glasses or Meta-type glasses capable of recording
Smart watches or other wearable recording devices
Mobile phones or other devices for covert recording
Any other device or technology capable of capturing or transmitting audio, video or images

This applies whether or not the recording function is visibly active.

A breach of this rule may result in immediate termination of membership without refund.

16. Termination of Membership

Membership may be terminated by Love HQ where appropriate, including for:

Inappropriate, offensive, threatening or concerning behaviour
Failure to respond to communications
Providing false or materially misleading information
A substantiated complaint from another member
Inviting someone to a private residence on a first date
Failing to attend a scheduled date without reasonable notice
Repeated failure to engage with the matchmaking process
Recording or photographing another member without consent
Any other material breach of these Terms & Conditions or Rules & Regulations

17. Fulfilment and Refunds

Membership is fulfilled by Love HQ providing the agreed number of introductions during the applicable membership period, subject to these Terms & Conditions.

If Love HQ is unable to provide the agreed number of introductions, Love HQ may, at its discretion, extend the membership period or otherwise address the matter appropriately.

Refunds are not provided unless Love HQ is found to be in breach of its contractual obligations.

Where a refund is due under these Terms & Conditions, Love HQ may deduct reasonable amounts relating to services already provided, including:

A non-refundable €250 registration and administration component
A pro-rata amount relating to introductions already completed

Members must make themselves reasonably available for introductions.

18. Agreement

By signing or otherwise accepting these Terms & Conditions, I confirm that I have read, understood and agree to abide by the Love HQ Terms & Conditions and Rules & Regulations.

I accept responsibility for my conduct, communication and availability during my membership.

I agree to pay the full agreed membership fee for services provided by Love HQ.

LOVE HQ – RULES & REGULATIONS

The following rules and regulations apply to all Love HQ members. Failure to comply may result in suspension or termination of membership.

Maintain a positive and open-minded attitude. Love HQ cannot make two people like one another and cannot guarantee attraction, chemistry or connection.
Gentlemen should call their date when they arrive at the agreed location and time. Where appropriate, we prefer both parties to meet outside and walk in together.
Ladies should contact their date if they have not heard from them.
Initial telephone contact should be used primarily to confirm arrangements. Do not attempt to establish full compatibility by telephone.
Do not provide your home address or private home telephone number. Mobile numbers are provided to allow arrangements to be made.
Mobile phones should be switched off or placed on silent during consultations and dates except where genuinely necessary.
No recording, photography, smart glasses, Meta-type glasses or other recording devices are permitted during consultations or dates.
First dates should generally take place in public and preferably somewhere convenient and reasonably fair for both parties.
Never invite someone to your home on a first date.
Avoid dwelling negatively on previous relationships. Focus on the future.
Do not discuss other Love HQ clients or disclose their personal information.
Arrive on time and make a reasonable effort with your appearance.
Remain open-minded and remember that people may be nervous when meeting for the first time.
Do not make other dating agencies or dating websites the focus of conversation.
If you do not wish to meet an introduction again, communicate this respectfully.
Provide honest feedback when requested by Love HQ.
Where a Love HQ feedback form or survey is provided, complete it through the requested system where possible.
Feedback received from other clients is confidential and will not routinely be shared in written form. Love HQ may share relevant feedback in summary form at its discretion where it considers this may assist your dating journey.
Do not disclose, publish, screenshot, forward or otherwise distribute communications or personal information relating to other Love HQ clients.
Love HQ cannot be responsible for conversations, interactions, differing opinions, personality differences or impressions formed by members.
Love HQ is the conduit between members and cannot guarantee compatibility, attraction, chemistry, connection or relationship outcomes.
Try to suspend assumptions and judgements and give each introduction a fair opportunity.
The person who is ultimately right for you may not necessarily fit your existing idea of a "perfect" partner.
Love HQ creates the opportunity to meet; the outcome of that meeting is the responsibility of the two people involved.
We aim to make the matchmaking experience positive, respectful and enjoyable for everyone involved.

You can apply to join our Little Black Book as a potential match for Love HQ clients.

All information is treated confidentially.

Love HQ has clients throughout Ireland and, where appropriate, may contact you if we believe you could be a suitable match for one of our clients.

Joining the Little Black Book does not make you a Love HQ matchmaking client. You become a matchmaking client only when you have entered into the relevant agreement and paid the applicable fee.

If you are invited to meet one of our matchmaking clients, an administration fee of €100 per arranged date may apply.

The relevant Love HQ Terms & Conditions and Rules & Regulations apply to Little Black Book introductions.

CHANGES TO THIS PRIVACY NOTICE AND TERMS OF BUSINESS

Love HQ may update this Privacy Notice, Terms & Conditions and Rules & Regulations from time to time to reflect changes in legislation, our services or our business practices.

Where changes materially affect your rights or obligations, we will take appropriate steps to notify affected clients.
